Fine Arts Voice Studio Policies
Effective August 2026
Fine Arts Voice is committed to providing exceptional instruction characterized by artistic excellence, individualized teaching, dedication, and positivity. These policies help us provide a consistent, professional experience for every student and family while protecting the instructional time reserved for each student.
1. Attendance & Student Absences
Enrollment in private lessons reserves a recurring lesson time specifically for the student. Because this time is held exclusively for the student, Fine Arts Voice does not provide refunds, credits, rescheduling, or traditional make-up lessons for student absences, including absences due to illness, rehearsals, dress rehearsals, vacations, school functions, scheduling conflicts, or other personal commitments.
When a student must miss a private lesson, the following alternatives may be available during the student's regularly scheduled lesson time. Please request the preferred option when notifying the studio of the absence via email (sarah@fineartsvoice.com). If no alternative is requested, the lesson will be considered missed.
Online Lesson
An in-person student may request to attend the regularly scheduled lesson online when unable to attend in person.
Recorded Lesson
With advance notice, the instructor may provide a brief recorded lesson or instructional video during the student's reserved lesson time. Recorded lessons will generally remain available for approximately two weeks.
Recorded Practice Feedback
With advance notice, students may submit an audio or video recording of assigned technique, repertoire, or other current lesson material. The instructor will use the student’s reserved lesson time to review the submission and provide recorded and/or written feedback, exercises, and practice recommendations.
These alternatives do not create an entitlement to a lesson at another time and do not change the studio's student-absence policy.
2. Instructor Absences & Studio-Cancelled Lessons
An instructor absence is treated differently from a student absence.
If an instructor is unable to provide a scheduled lesson, the instructor and family will make reasonable efforts to arrange an appropriate replacement lesson within the same semester. The replacement lesson will ordinarily be taught by the student's regular instructor in order to preserve continuity of instruction.
Fine Arts Voice does not routinely assign substitute instructors for individual private lessons.
If an instructor is able to teach but determines that meeting in person would be inadvisable—for example, because of illness or possible contagious exposure—the instructor may transition the scheduled lesson to an online lesson. When the full scheduled lesson is provided online, the lesson is considered fulfilled and an additional replacement lesson is not owed.
If an instructor-cancelled lesson cannot reasonably be rescheduled within the same semester, Fine Arts Voice will provide an appropriate credit or other remedy for instructional time the studio was unable to provide.
A replacement lesson resulting from an instructor absence does not create an additional make-up opportunity. If the student is unable to attend the mutually agreed replacement time, the regular student-absence policy applies.
3. Weather & Emergency Closures
When weather, hazardous travel conditions, building conditions, or other circumstances make in-person instruction impractical or unsafe, Fine Arts Voice may transition scheduled in-person lessons to online instruction.
Families will be notified as soon as reasonably possible. When the full scheduled lesson is provided online, the lesson is considered fulfilled and is not considered a studio cancellation.
If Fine Arts Voice is unable to provide instruction because of a closure or other circumstance, the studio will determine an appropriate replacement, credit, or other remedy.
4. Late Arrivals
Students who arrive late will receive the remainder of their scheduled lesson. Late arrival does not extend the scheduled lesson time, as instructors may have students scheduled immediately afterward.
If an instructor is late, the student will receive the full amount of scheduled instructional time or an appropriate adjustment will be made.
5. Lesson Swaps
Fine Arts Voice does not provide or guarantee make-up lessons for student absences.
When appropriate, families may independently arrange to exchange lesson times with another student, provided both parties agree and the change is approved by the studio in advance.
Fine Arts Voice is not responsible for locating or coordinating lesson-swap partners.
6. Tuition & Payment
Enrollment in semester-based private lessons reserves the student's recurring lesson time for the full semester and constitutes a financial commitment for the entire semester.
Tuition must be paid according to the payment schedule established by Fine Arts Voice. Families and clients are responsible for maintaining a valid payment method on file and authorize Fine Arts Voice to process payments in accordance with the Credit-on-File Authorization completed at registration.
If a payment is declined or an account becomes past due, Fine Arts Voice may suspend instruction or enrollment until the account is brought current. Suspension due to nonpayment does not eliminate financial obligations already incurred under the semester enrollment commitment.
Tuition is based on enrollment and reserved instructional time and is not reduced because of student absences.
7. Registration Fee
A one-time, nonrefundable $35 registration fee is charged when a new student or client first registers with Fine Arts Voice.
The registration fee applies to all Fine Arts Voice services, including private lessons, paid trial lessons, classes, assessments, consultations, and other services. The fee helps cover administrative costs associated with establishing and maintaining the student's or client's studio account and records.
The registration fee is charged only once and is not reassessed each semester or academic year for continuing Fine Arts Voice students or clients.
8. Withdrawal from Private Lessons
Enrollment in semester-based private lessons reserves a recurring lesson time for the full semester and constitutes a financial commitment for the entire semester.
Tuition remains due regardless of attendance, missed lessons, or a student's or family's decision to discontinue lessons before the end of the semester.
If a student will no longer be attending, written notice should be submitted as soon as possible to sarah@fineartsvoice.com. Notice given verbally to an instructor does not constitute official notice.
Withdrawal from attendance does not cancel or reduce the remaining semester tuition obligation.
Registration fees, semester tuition, completed services, purchased materials, assessment fees, class tuition, and other applicable nonrefundable charges are not refunded.
Fine Arts Voice may consider documented medical emergencies or other exceptional circumstances on an individual basis.
9. Studio-Initiated Cancellation
If Fine Arts Voice becomes unable to provide a student's remaining enrolled instruction, the studio will make reasonable efforts to offer an appropriate alternative schedule, format, or other solution.
If Fine Arts Voice cannot provide a reasonable alternative, tuition paid for instruction the studio is unable to provide will be credited or refunded as appropriate.
10. Conduct & Termination
Fine Arts Voice is committed to maintaining a respectful, professional, and safe learning environment for students, families, instructors, staff, and visitors.
Students and families are expected to communicate and behave respectfully and to follow studio policies and reasonable instructions regarding studio operations and facilities.
Fine Arts Voice reserves the right to suspend or terminate enrollment when circumstances materially interfere with the safety, well-being, or effective operation of the studio. Reasons may include, but are not limited to, threatening, abusive, harassing, or seriously disruptive behavior; significant or repeated violations of studio policies; damage to studio property; nonpayment; or other conduct that makes continued enrollment inappropriate or impracticable.
When reasonably appropriate, Fine Arts Voice will communicate concerns and provide an opportunity to resolve them before terminating enrollment. The studio may suspend or terminate enrollment immediately when necessary to protect the safety or well-being of students, families, instructors, staff, visitors, or others.
If Fine Arts Voice terminates enrollment, any financial adjustment for future instruction that will not be provided will be determined as appropriated based on the circumstances and applicable obligations. Amounts already due for instruction or services provided remain payable.
11. Teacher, Schedule & Format Changes
Fine Arts Voice values continuity between students and their instructors and will make reasonable efforts to maintain each student's established teacher and lesson schedule.
Occasionally, circumstances may require a change in instructor, schedule, teaching room, studio location, or instructional format. Fine Arts Voice will communicate material changes to affected families and make reasonable efforts to provide an appropriate alternative.
A temporary transition from in-person to online instruction when permitted under these policies does not constitute a change in enrollment.
12. Group Classes & RCM Theory
Registration in a group class reserves the student's place for the entire published class session and constitutes a financial commitment for the full session.
Registration reserves the student’s place in the class. Class tuition is nonrefundable once the class begins.
If Fine Arts Voice cancels a class meeting, the studio will provide a make-up class, credit, or other appropriate remedy.
Required books and materials are purchased separately unless expressly stated otherwise. RCM Theory students are responsible for purchasing the designated course materials from the Royal Conservatory of Music bookstore before the first class.
13. Vocal Snapshots & Voice Assessments
Payment is required when a Vocal Snapshot, Voice Assessment, or similar assessment service is booked.
Assessment fees reserve professional time and cover review of submitted materials and preparation of the applicable feedback, recommendations, practice plan, or report.
Clients are responsible for submitting complete, usable recordings and other requested materials according to the provided instructions and stated deadline.
Once Fine Arts Voice has begun reviewing submitted materials or preparing the assessment, the assessment fee is nonrefundable.
Vocal Snapshots and Voice Assessments are educational services. They do not constitute medical evaluation, diagnosis, or treatment.
14. Online Lessons & Technology
Students participating in online lessons are responsible for having a suitable device, reliable internet connection, and appropriate environment for instruction.
Technical difficulties originating with the student, including internet, device, audio, or video problems, do not ordinarily entitle the student to a replacement lesson, refund, or tuition credit. When possible, the instructor may attempt reasonable troubleshooting or continue instruction using another practical method.
If a significant technical problem originating with Fine Arts Voice or the instructor prevents the scheduled lesson from being provided, Fine Arts Voice will arrange an appropriate replacement or adjustment.
Online lessons are considered equivalent scheduled instruction for attendance and tuition purposes.
15. Parent/Guardian & Account Holder Responsibilities
For minor students, the parent, guardian, or account holder is responsible for enrollment, tuition and fees, studio communications, policy compliance, and maintaining current contact and payment information.
Parents and guardians are responsible for ensuring that students arrive safely and on time and, when not remaining at the studio, are present and available for pickup at or before the student’s scheduled ending time. Fine Arts Voice does not provide childcare or supervision outside a student’s scheduled instructional time.
Fine Arts Voice instructors frequently teach students back-to-back and cannot leave an active lesson to supervise a student awaiting pickup, meet a late-arriving parent, or manage building access after another student's lesson has begun.
Families and clients are responsible for reviewing studio communications and promptly notifying Fine Arts Voice of changes affecting contact information, payment information, scheduling, enrollment, or other relevant arrangements.
16. Studio Facilities, Supervision & Building Access
Students, families, and visitors are expected to treat the Fine Arts Voice studio, furnishings, instruments, equipment, and common areas with care and to follow reasonable studio and building guidelines.
Parents and guardians remain responsible for the supervision and behavior of children and siblings who are not actively participating in instruction. Children should not be left unattended in waiting areas or other portions of the studio unless specifically permitted by Fine Arts Voice.
Students should not be dropped off before their scheduled instructional time or remain at the studio after their scheduled lesson, class, or activity. Fine Arts Voice does not provide supervision before or after scheduled instructional time unless prior arrangements have expressly been made.
For safety and security, the studio entrance remains locked during lessons. Families should follow current studio arrival and entry procedures and should not expect an instructor to leave an active lesson to provide early building access.
Students, families, and visitors may be responsible for the cost of repairing or replacing studio property damaged through intentional misconduct or unreasonable misuse.
17. Studio Materials & Intellectual Property
Instructional materials created or provided by Fine Arts Voice—including lesson recordings, exercises, warm-ups, assessment materials, written reports, practice plans, instructional videos or audio, handouts, worksheets, course materials, and other original educational resources—are intended solely for the personal educational use of the student or client for whom they were provided.
Fine Arts Voice-created materials may not be copied, reproduced, distributed, uploaded, published, sold, shared publicly, used for commercial purposes, or provided to others without prior written permission from Fine Arts Voice.
Access to digital or recorded materials may be limited to the access period specified when the material is provided.
This provision does not restrict a student's ownership or ordinary personal use of recordings of the student's own performances unless those recordings also contain proprietary Fine Arts Voice instructional materials.
